Minnetonka Baseball Association is a program of service to the youth of our community. It is geared to provide an outlet of healthful activity and training under good leadership in an atmosphere of wholesome community participation.

Roles and Responsibilities

 SITE/CONTENTS ARE CURRENTLY UNDER CONSTRUCTION (SEPT '22)

 

PRESIDENT

* Preside at all league meetings

* Preside over Executive Committee meetings

* Preside over Grievance Committee

* Attend and represent Minnetonka Baseball at Bennett Family Park Board meetings

* Board Elections

* Executive Committee Elections

* Improvement ideas for following year

* Lead discussion and/or committee to review and build League structure/rules

* Work with a committee to plan and organize the pre-season Orientation Meetings

* Develop Season Calendar of important dates

* Conduct the affairs of MBA and execute the policies established by the Board of Directors

* Communicate to the Board of Directors such matters as deemed appropriate, and make such suggestions as may tend to promote the welfare of MBA

* Designate in writing other directors, if necessary, to have power to make and execute for/and in the name of MBA such contracts and leases they may receive and which have had prior approval of the Board

* Designates which Executive Board member will preside over monthly board meetings in President's absence. In the event that the President is unable to designate a presiding Board member, the Board will determine via majority vote

 

Field Liaison:

* Coordinates field usage with cities, Minnetonka School District, and Bennett Family Park

 

Field Maintenance (Bennett):

* Oversees the maintenance of the playing fields at BFP

* Spring/Fall Clean-up

* Field/Facility Improvements

 

Field Maintenance (All Other Fields):

* Oversees the maintenance of all other playing fields used by the League

* Spring/Fall Clean-up

* Field/Facility Improvements

 

VICE PRESIDENT - OPERATIONS

* Serve on MBA Executive Board and attend Board Meetings

* Preside over monthly Board meetings in the President’s absence (if designated by President)

* Preside over Executive Committee meetings in the President’s absence (if designated by President)

* Member of the Grievance Committee

* Presides over all baseball operations related leaders and board directors

* Assist Director of Leagues with Tryouts / Team Selection / Draft

 

VICE PRESIDENT -  ADMIN

* Serve on MBA Executive Board and attend Board Meetings

* Preside over monthly Board meetings in the President’s absence (if designated by President)

* Preside over Executive Committee meetings in the President’s absence (if designated by President)

* Member of the Grievance Committee

* Presides over all administrative and non-baseball operations related leaders and board directors

* Work with Secretary/PR to develop a Survey Plan/Review

* Manages the Code of Conduct

* Oversees all Coordinators and Leaders within Equipment/Uniforms, Volunteering, & Concession areas

 

Equipment Leader:

* Organize equipment purchasing, handout, collection, and storage

* Responsible for organization and use of Bennett equipment shed

 

Community Uniforms Leader:

* Organize uniform purchasing, vendor communications and relationship, handout

 

Travel Uniforms Leader:

* Organize uniform purchasing, vendor communications and relationship, handout

 

Volunteer Leader:

* Liaison between Bennett Family Park and Veteran’s Field regarding Concession scheduling and planning needs

* Create, Maintain, and Oversee Volunteer Scheduling at all locations

* Track volunteer shift adherence and assess fees

 

Concessions Leader:

* Collaborates with Volunteer Leader regarding Freeman Concession scheduling and planning needs

* Oversee Concession Purchasing & Inventory at Freeman Park

 

SECRETARY

* Serve on MBA Executive Board and attend Board Meetings

* Preside over the Nominating Committee

* Distribute and Publish Agenda prior to meetings

* Distribute and Publish Minutes after meetings

* Keep a record of all persons who attend Board Meetings

* Maintain an official record of the League’s activities

* Maintain a current copy of the Articles and Bylaws

* Oversees all Coordinators and Leaders within Communications, Team Manager role, and subsequent committees

 

Communications Leader

Responsible for all League Communications

* Prepare and send out all email communications to MBA members

* Prepare and submit up to date information for all communications

* Provide and update season calendar on website

* Provide and update key dates on website

* Create and publish annual survey on website

 

Team Manager Leader

* Work with Head Coaches to recruit Team Managers for all teams (Community and Travel)

* Conduct and Train Team Managers at a Team Manager Meeting in Spring

* Provide weekly communication to Team Managers with focus for that week

* Provide ongoing support to Team Managers 

* Work with MBA chosen Photographer(s) to coordinate Team Photo Day

* Responsible for Opening Day committee to plan/execute league event, manage budget

* Liaison between West Metro Miracle League and MBA to help provide Buddy Teams for that partner organization

* Oversees all Coordinators and Leaders within Team Manager, Photo Day, Opening Day

* Collaborate with Secretary and Communciations Leader

 

TREASURER

* Serve on MBA Executive Board and attend Board Meetings

* Handles all financial duties of the League

* Receives and safely keeps all funds of the League

* Reports on status of Minnetonka Baseball funds at each Board Meeting.

* Lead Budget Review and present Budget for approval

* Assist in Charter registration

* Prepares and sends out invoices to team sponsors

* Ensures federal and state tax returns are timely filed

* Manages the Conflict of Interest policy and process

 

LEAGUE OPERATIONS & INFORMATION DIRECTOR

Manage the league’s official website

* Set up online registration

* Creates and communicates PeachJar submissions for the upcoming registration season

* Assign online administrative rights to other MBA Board Members or others identified by the President

* Help guide managers, coaches, and parents on the proper website usage

* Ensure that league news and scores are updated online on a regular basis

* Collect, post, and distribute important information on league activities

* Serves as primary contact person regarding optimizing use of the Internet for league administration and for distributing information to all MBA members

* Works with the various League Directors to ensure all necessary data captured for team assignments during the on-line registration process

* Build team rosters for all season within set deadlines

* Assist individuals that have trouble registering by themselves on-line

* Provide registration data will assist the League Directors in their team creation process

* Coordinate Registration activities including communications

* Coordinates with MBL on MBA's team structure and completes league set-up

* Tracks and Coordinates State Travel registration with MBL and MYAS

* Coordinate Fall Ball Registration

* Collects Registration Fees

* Review Registration Numbers and provide to the board for decision making

* Registration Review and Suggestions/Ideas for following year

 

 

DIRECTOR OF LEAGUES – (PRE K – GRADE 6)

* Oversee all Coordinators and activities

* Review and update the rules for each league level

* Work with League Directors on Regular Season Team Selection/Drafts

* Lead Travel Committee

Travel Tier I Director

Community 16-18 YO Director

* Oversees the operation of the League to ensure all rules are followed.

* Coach Recruitment and Selection (subject to approval by the Board.)

* Lead a league meeting with all managers/coaches to cover all league rules.

* Work with Director of Leagues to establish number of teams

* Help Administer Tryouts and Team Selections

* Help Identify Scheduling Needs

* Make sure teams are properly registered in respective leagues

* Update all season playing rules and post on the League website.

TOURNAMENT/EXTENDED PLAY DIRECTOR

* Coordinates and registers tournaments for all teams

 

Fall Ball Director

* Oversees the operation of the League to ensure all rules are followed.

* Coordinate Teams and Fields with Participating Communities

SCHEDULING DIRECTOR (PRE K – GRADE 6)

* Scheduling of practices for all MBA teams Grades PreK - 6

* Scheduling of games for the MBA teams Grades PreK - 6

* Year End Playoffs

* Notify umpires of schedule and schedule changes

* Keep website up to date

* Responsible for all rescheduling due to weather

* Oversee all Coordinators and activities

* Negotiate with other Little Leagues and schedule games and fields for

appropriate league levels

 

Umpire Director

* Works directly with Scheduling Directors to coordinate and schedule umpires

as needed

 

 

SCHEDULING DIRECTOR (GRADES 7-12)

* Scheduling of practices for all MBA teams Grades 7 - 12

* Scheduling of games for the MBA teams Grades 7-12

* Year End Playoffs

* Notify umpires of schedule and schedule changes

COACHING/TRAINING DIRECTOR

* Responsible for creating the player development plan for all players.

* Liaison for all League Coaches

* Develop /Set up practice plans

* Provide training to players, coaches and managers

* Coordinate spring clinics.

* Coordinate clinics and dome time

* Oversee Player Development Coordinator

 

Player Development

* Works directly with Coach Training Director

* Dome Schedule

* Develop Clinics Plan to best utilize the Dome usage

* Coordinate Vendor/Staff for Clinics

* Provide Clinics Review to give feedback for future Clinics

* Coordinating Staff for Player Evaluations

 

SPONSORSHIP/FUNDRAISING DIRECTOR

* Solicit and secure local sponsorships to support league operations

* Collect and review sponsorship and fundraising opportunities

* Maintain records of monies secured through sponsorship and fundraising initiatives

* Oversees all Coordinators and Leaders within Sponsorship, Fundraising, and League Events

 

Sponsorship Fundraising

* Identify and contact team sponsors

* Works directly with Sponsorship Director

 

Golf Committee

* Coordinate and Organize MBA Annual Golf Event and Online Silent Auction

* Works Directly with Fundraising and Sponsorship Director(s)

 

League Event Organizer

* Coordinate and Organize MBA League Event

* Works directly with Fundraising Director and Sponsorship Director(s)

 

 

SAFETY DIRECTOR

* Serve on MBA Board and attend Board Meetings

* Perform Background Checks on coaches

* Facilitate and collect all necessary coaching certifications

* Source Insurance for all leagues

* Creation and Updating of League Safety Plan

* Liaison between families and insurance provider in the event of an injury

* Communicate any safety issues to the Board
